The role
You will work alongside the management team to ensure the smooth running of the office and company.
You will be responsible for all non-technical and non-commercial aspects of the business allowing the management team to work effectively on their roles.
You will be expected to fulfil your responsibilities with a high degree of autonomy, putting in place the necessary processes and planning to do this effectively.
Required skills and eperience
3+ years of experience supporting senior leadership in a fast-paced start-up
Excellent written and verbal communication skills, attention to detail, and time management skills
Experience managing complex calendar systems and coordinating with an international team across multiple timezones
Ability to use discretion and work with a high degree of confidentiality
Able to operate and execute autonomously with minimal supervision
Proficiency working with a startup software stack such as Google Suite (Docs, Sheets, Slides, Gmail), Notion, and Slack
Key responsibilities
Executive assistance
Supporting the CEO and other members of the management team as required
Including but not limited to, and only as required, managing calendars and arranging travel
Office management
Responsibility for all aspects of the physical and virtual office
Making sure we have a professional and functional office environment that fits with the company ethos and brand
Accommodating visitors, including meeting them on arrival and making sure they have a professional, comfortable and effective experience
Ensure we have an effective hot desking system operational
Ensure health & safety in the office through cleanliness, tidiness, ensuring hazards are not present that may cause slip, trip or fall
Ensuring we have in place the processes and equipment to ensure physical and hybrid meetings run effectively, in particular the daily team stand-up and other regular team meetings
Team
Supporting our recruitment agencies and consultants as required
Arrangements for in-office interviews
Managing the preparation, issuing, signing and filing of employment contracts
Onboarding of new team members
The day-to-day safety and well-being of the team and a point of contact outside of line management where they can raise issues or concerns
Management of team sickness including recording, follow-up after prolonged sickness periods and return to work support
Bringing relevant team issues to the attention of the management team
Arranging team social events including the annual Christmas lunch and the annual volunteering day
Administration
Ensuring that all non-technical and non-commercial company information and documents are organised effectively
Responsibility for company health and safety, insurance and other non-technical and non-commercial functions
Ownership & implementation of company policies such as privacy and data protection, ensuring escalation to management team where appropriate and required
Ownership of annual, and more frequent where required, internal audits such as cyber security requirements. Ensuring that these audits take place and results are recorded
